Frequently Asked Questions

  • Getting started with Crown & Rein is simple. You may complete the online contact form at your convenience or reach us directly by phone to speak with a member of our team. While both options are welcome, calling us allows for the fastest response and enables us to discuss your transport needs in real time, answer questions, and begin coordinating your journey promptly.

  • To ensure your horse’s journey is smooth, safe, and compliant with interstate animal health regulations, Crown & Rein requires two essential documents prior to transport (and in some cases, three). These standards are in place to safeguard your horse, the horses they may travel alongside, and the broader equine community.

    1. Negative Coggins Test

A current negative Equine Infectious Anemia (EIA) test, also known as a Coggins test, is required for all horses traveling with Crown & Rein.

    - The Coggins must be dated within one year of the horse’s scheduled delivery date.

    2. Certified Veterinary Inspection (CVI)

Also known as a Health Certificate, the CVI verifies your horse is healthy and cleared for interstate travel.

    - The CVI must be issued within 30 days of the delivery date.

    Submission and Compliance Timeline

To allow for smooth scheduling and verification, we require that both documents be submitted no later than one week prior to pickup. Please note that:

    - we cannot accept documentation that will expire at any point during the journey

    - If paperwork expires mid-route, federal and state requirements prevent us from continuing transport.

    3. If your horse requires a brand inspection (see our FAQ on brand inspections if you are unsure), we will need to have that documentation one week before your scheduled departure as well.

At Crown & Rein, we handle every journey with care, precision, and full regulatory compliance—ensuring your horse travels safely and arrives with dignity and peace of mind.

If you have questions or need assistance obtaining your paperwork, our team is here to help.

  • Crown & Rein operates as a boutique transport service, offering highly personalized, thoughtfully coordinated journeys rather than volume-based hauling. We don’t simply transport horses—we work closely with owners to ensure their specific needs, preferences, and timelines are understood and met with precision. Every transport is customized to the horse and the circumstances, with safety, supervision, and welfare guiding each decision. Professional experience, calm handling, and clear communication define our approach, delivering a transport experience built on trust, responsiveness, and care.

  • In addition to standard health documentation, certain states require a Brand Inspection when a horse is transported across state lines. This inspection services as official verification of ownership and ensures that every horse traveling through these regions is doing so with proper authorization.

If your horse is departing from one of the following states, a brand inspection will be required:

Colorado, Idaho, Montana, Nevada, New Mexico, Utah, Washington, and Wyoming

Even if your horse does not carry a physical brand, the inspection is still mandatory. A state brand inspector will verify identify and ownership, and issue the necessary certification that allows your horse to travel legally beyond state boundaries.

How to Obtain a Brand Inspection

    1. Locate the brand inspector assigned to your region

    2. Contact them directly to schedule an appointment

    3. The inspector will visit your barn or facility to verify ownership

    4. They will issue the required transport or travel permit for your horse

This process should be completed in advance of your scheduled transport to avoid delays.

For additional guidance, contact your state’s Brand Inspection Agency. Links and contact resources are available through each state’s agricultural or livestock authority website.

If you need assistance determining whether a brand inspection applies to your transport or help locating your regional inspector, our team is always here to support you—ensuring every detail of your horse’s journey is prepared, compliant, and confidently managed.

  • At Crown & Rein, we understand that plans and needs can shift. While transporting horses requires careful coordination and advance planning, we will always do our best to work with you and accommodate changes whenever possible, balancing flexibility with the safety and logistics required for equine transport.

To reserve your transport date, a 50% deposit of the total transport fee is required at the time of booking.

    • Cancellations made at least 14 days (two weeks) prior to the scheduled pickup date are eligible for a full refund of the deposit.

    • Any changes to the pickup date, pickup location, delivery location, or shipment details must be requested no later than 7 days prior to the scheduled pickup. While we will make every effort to accommodate requested changes, modifications to pickup or delivery locations may not always be possible and may result in additional mileage or routing charges.

    • Cancellations made within 7 days of the scheduled pickup date will result in forfeiture of the deposit, as equipment, routing, and driver scheduling will have already been finalized.

    • Cancellations made within 24 hours of the scheduled pickup time will be charged the full cost of the transport, due to the commitment of resources and the inability to rebook the route on short notice.

  • At Crown & Rein, we are committed to delivering the highest standard of care throughout every journey. While we maintain rigorous safety protocols and employ experience handlers, it is important to understand that Crown & Rein does not provide insurance coverage for your horse during transport.

As the horse’s owner or representative, you are responsible for securing any desired or required mortality, major medical, or transit insurance for the duration of travel.

If you do not currently have transport coverage in place, we are pleased to assist you. Our team can connect you with reputable equine insurance providers who offer short-term or single-trip policies designed specifically for shipping. This ensures that your horse is fully protected according to your preferences and peace of mind.

We are here to support you in every step of preparing your horse for travel—both practically and thoughtfully.

Should you need guidance or contact information for recommended insurers, simply let us know.

  • At Crown & Rein, every aspect of our transport process is shaped by the well-being and comfort of your horse. To reduce the risk of digestive stress during travel, we do not feed grain or other concentrated feeds while a horse is in transit. We also require that horses do not receive concentrated feed on the day of transport.

It is common for horses to drink less water while traveling, and changes in hydration coupled with concentrated feeds can increase the risk of colic. By removing concentrates from the pre-transport routine and focusing on free-choice hay and hydration, we support a quieter gut, steadier metabolism, and a more comfortable journey.

We recognize that some horses require medications, supplements, or dietary accommodations. These situations are always handled with thoughtful planning and individualized care. If your horse has specific medical or dietary needs, please discuss these with us prior to booking so we can ensure proper preparation.

For the safety and comfort of any horse requiring feed or medication during transport, a box stall is required. The additional space allows the horse to balance more freely, rest when needed, and be monitored closely—ensuring that special care is delivered without compromise.

Our goal is simple: to provide a journey that supports both physical well-being and emotional ease. Your horse’s health is at the heart of every decision we make.

  • At Crown & Rein, we understand that a horse’s arrival is only part of the journey—having the right tack and equipment on hand is essential to ensuring a smooth transition into their new environment. Our ability to transport tack varies depending on the type of transport service or charter selected, as space and configuration differ among rigs.

To ensure that everything you need arrives when and where you need it, we encourage you to discuss your tack and equipment needs with us during booking. Whether you are sending a simple halter and travel gear, multiple trunks, or specialized equipment, we will advise the best arrangements and confirm what can be accommodated on your scheduled transport.

Our goal is to provide a seamless, thoughtful experience from departure to destination—supporting both your horse and your plans upon arrival. Please reach out so we may assist in coordinating your tack transport with the same care and attention we devote to your horse.

  • Yes. Crown & Rein is a fully licensed and legally registered motor carrier, operating in full compliance with FMCSA rules and regulations under our own DOT and MC (Motor Carrier) numbers.

We carry all federally required insurance, including cargo and liability coverage, and in most cases exceed minimum insurance requirements to better protect the horses in our care, our clients, our employees, and other motorists. In addition, we maintain general liability insurance as part of our comprehensive risk management and safety program.

Crown & Rein also meets all legal and veterinary requirements for interstate livestock transport, as mandated by state Departments of Agriculture, state veterinarians, and the USDA. Regulations surrounding livestock transport documentation can be complex and vary by destination; our role is to help guide you through what is required so there are no surprises on the day of travel.

We will clearly communicate which documents your horse will need based on where they are traveling and when. Please see our FAQ section on required paperwork for additional details.
